This privacy policy explains what personal data we collect through the hosetbaltic.com website, why we use it and what your rights are.

2. What data we collect
- Through the contact form: name, email address, phone number (optional), the service you are interested in, a description of your project and any files you choose to attach.
- By email or phone: the information you share with us.
- When you use the website: technical data such as IP address and browser type, stored in server logs.
Providing your data is voluntary, but without your contact details we cannot reply to your enquiry. We do not make automated decisions about you or carry out profiling.
3. Why we use your data
- To reply to your enquiry, arrange a consultation and prepare an offer. Legal basis: steps taken at your request before entering into a contract (GDPR Article 6(1)(b)).
- To keep the website secure and working. Legal basis: our legitimate interest (GDPR Article 6(1)(f)).
We do not use your data for direct marketing without your separate consent, and we do not sell it to third parties.
4. Who we share data with
Your data is accessible only to those handling your enquiry. We also use service providers who process data on our behalf and on our instructions:
- our web hosting provider (Zone Media OÜ, Estonia);
- our email service provider.
If needed for your project, we may share the content of your enquiry with our partner Hoset, for example to prepare the design or technical solution. We do this only with your knowledge.
If your project requires us to transfer data to a partner outside the European Economic Area, we do so only with appropriate safeguards, such as the European Commission’s standard contractual clauses, and we share only the data needed for the project.
5. How long we keep data
If no contract is concluded as a result of your enquiry, we keep the enquiry data and correspondence for up to 12 months after our last contact. Files attached to the enquiry, such as plans and photos, are kept for up to 6 months after our last contact. If we conclude a contract, we keep the data for the duration of the contract and for as long as the law requires (for example, 7 years for accounting documents).
6. Cookies
The website uses a necessary cookie that remembers your selected language (pll_language). With your consent, we also use Google Analytics cookies (_ga) to understand how visitors use the website (for example, pages visited and device type). IP addresses are anonymised and the data is not used to personalise advertising. You can change your choice at any time: change cookie settings. The Facebook and Instagram icons are plain links and do not load any social media tracking code.
7. Your rights
You have the right to:
- know what data we process about you;
- have incorrect data corrected;
- have your data erased;
- restrict or object to the processing of your data;
- receive your data in a portable format;
- withdraw any consent you have given at any time, for example to receive a newsletter.
To exercise your rights, email info@hosetbaltic.com. We will reply within one month. If you believe we have violated your rights, you can contact the Estonian Data Protection Inspectorate (www.aki.ee).
8. Changes
We may update this privacy policy. The current version is always available on this page.
